Mississippi Baptist Medical Center Student and Faculty Onboarding Process

Step 1: Request Approval for a Clinical Experience

  • Non-nursing requests are handled in the corresponding department (respiratory works with respiratory, phlebotomy works with phlebotomy).
  • All nursing clinical experiences (including preceptor requests) are processed through Placement Pro.
  • After you receive email notification of availability, submit the completed Onboarding Packet for the entire clinical group in one email at least 2 weeks prior to the clinical experience.

Step 2: Complete Onboarding Packet & Await Approval

Prior to Onboarding Packet submission, the school should submit an Epic Roster for your schools CT/CTs.  This should be the first step completed each semester. Epic access takes up to 2 weeks to complete and CT Epic access is required to conduct student training. If your facility does not have a CT, please email mbmcstudentnurse@bmhcc.org.

  • General Guidelines
    • Submit a completed onboarding packet for your group at least 2 weeks prior to the clinical experience.
    • Student paperwork is submitted in clinical groups.
      • Do not submit individual student paperwork unless your request is for an individual.
  • Required Documents for student/instructor onboarding.
    • Checklist.pdf Submit one checklist per clinical group.
      • Signature Pages: A signature page is required for all students and instructors participating in a clinical experience at Mississippi Baptist Medical Center.
      • These documents are not submitted to the hospital but should be readily available on request.
      • The Checklist serves as an attestation that the signature page is on file at the school.
        • In addition to compliance with MBMC Online Orientation materials and the Baptist Confidentiality statement, students are required to comply with the Skill Exclusion List.
    • Flu Vaccine Summary Form.pdf  Submit one form per clinical group.
    • Omnicell Form: Omnicell access (our medication dispensing system) is only available for instructors. Submit an instructor signed Omnicell form for each instructor in your group each semester.
    • Epic Roster: Submit one Roster per clinical group.
      • Receiving access to our electronic health record, EPIC, is a three part process:
        • First submit a completed Epic Roster in your initial onboarding packet so our team can begin the process for access.
        • Second, ensure each person on the Epic roster completes the Epic training with a certified trainer (CT) at your institution.
          • The CT will facilitate the uPerform training using this link https://bmhcc.my.uperform.com/
            • An Epic Roster for your schools CT/CTs should be submitted at the beginning of the semester.  Epic access takes up to 2 weeks to complete and CT Epic access is required to conduct the uperform training.
          • If your facility does not have a CT, please email mbmcstudentnurse@bmhcc.org.
        • Finally, after training with the CT is complete, email a copy of the Epic roster signed by the CT that conducted the training.
    • Once the clinical groups paperwork has been processed, you will receive an email approval to Begin Clinical Experience. You are now ready to prepare your group for the experience.

Step 3: Prepare for your Experience

A. Badges

  • Students wear their school badges at all times throughout their clinical experience.
  • Instructors wear MBMC badges throughout their clinical experience.

B. Parking and Parking Decals

  • Visible & attached parking decals and a badge (school or facility) are now required to enter the parking area at MBMC.
  • Students and instructors are required to enter through the Marshall Street entrance.  Please refer to the map located on the MBMC Online Orientation page.

C. How to Obtain Badges and Parking Decals

  • Please call Security at 601-968-1010 to schedule a time to obtain your instructor badge and parking decals for your group.
    • Schedule your appointment prior to your 1st day on campus. Only the instructor/instructors needing badges are required to be present.  Instructors will bring the parking forms for the entire clinical group.
    • Security appointments are available Monday-Friday 8-4.
    • Security is located on the lower level of the main hospital near the loading docks.
    • Please arrive with completed decal cards.
    • For returning instructors and returning clinical groups (the instructor already has a badge and the instructor/clinical group already has parking decals), please contact security to reactivate your badge, as all badges are deactivated at the end of each clinical rotation.

Step 4: Enjoy your Clinical Experience

  • At the end of your clinical experience please have each participant submit a clinical evaluation by clicking here.
  • Please include names of nurses you would like to recognize for a job well done and/or opportunities you see for us to improve future experiences.
  • Epic issues and login concerns: Please call the help desk at extension 1122 (from any internal phone), or 901-227-7777, if you or your group is having difficulty with logins.

**Please note our department cannot correct login issues, you will need to communicate with the help desk directly**

Questions and Contacts

  • All computer, password, and Epic questions should be directed to the MBMC Help Desk.
  • All security, badge, and parking questions should be directed to security.
  • All other questions should be directed to your specialties specific department in the hospital.
  • To schedule a room in the Education Resource Center for post conference, please email educationcenter@bmhcc.org
  • For nursing departments, the Nursing Clinical Development Department is available to assist you with onboarding questions.

    • To improve your clinical experience, we have also designated Tuesday from 1300-1600 as Clinical Affiliate Days. During this time, our specialist will be available to answer onboarding questions without an appointment.
